Creating an international, military, or U.S. territory shipping label in SendPro Online or PitneyShip

Select your software version

There are currently two versions of our shipping software. Click on the image that matches your Home screen to view the instructions for your version.

  1. From the SendPro Online or PitneyShip Home screen or the Print menu, select a carrier.
  2. If you use Cost Accounts, select the desired account from the Cost Account menu.
  3. Enter the recipient address, or select the address book icon to select an address from the address book.
    • For packages going to U.S. territories or military locations, choose United States as the Country and choose the territory or military region from the State menu.
    • For packages going to Canada, select Canada from the Country menu. For US military locations in Canada, select United States from the Country menu, then select Canada from the State menu under US Military States.
    • FedEx only: State is not a required field unless it is being sent to United States or Canada. For all other regions, leave State blank.
  4. If prompted to verify the address, select Use Verified.
  5. To email the tracking number when you print the label, select the Email the tracking number box and enter the email address.
  6. (Optional) To use a different carrier account, select the desired account from the Carrier Account menu at the top.
  7. To charge the costs of the shipment to the recipient's or another third party's FedEx or UPS account, select Other billing options from the Carrier Account menu at the top.
  8. Select Continue.
  9. On the Choose Your Packaging screen, select the type of package and enter the package information. If you have an attached USB scale, select the scale button and place the package on the scale.For more information about carrier services and packaging, see the Carrier Services and Packaging section below.
  10. Select Continue.
  11. Enter the required customs information. Requirements vary by carrier – see the carrier's website for details.
    • For international and military shipments in envelopes, Document must be chosen as the item type on the customs form.
    • To add items, click the Add an Item button.
    • Each item must have its weight, dollar value, and origin documented.
    • A detailed item description is required for each item. "Paper" or "invoices" is considered an incomplete description and is not accepted by customs.
  12. On the Choose Your Service screen, select the shipping date, then select the service you wish to use. Use the menus at the top to change the carrier*, ship date, carrier account, or Ship from ZIP Code as needed.
  13. Once the service has been selected, choose any extra services you wish to add. The total cost for the label is shown at the bottom of the screen. The total cost may differ from the amount next to the services due to taxes and surcharges.
  14. Select Print.
  15. To add a note about the shipment, enter it in the Memo field. You can enter up to 40 characters for USPS and up to 35 characters for FedEx and UPS. This memo appears on the label and in your history file.
  16. Select Print. The label opens in PDF format in a new browser tab, from which you can print. International labels must be printed on 8.5 x 11 paper.

Watch this video or follow the steps below to learn how to create and print an international shipping label.

  1. On the Shipping Labels tab, select Create Shipping Labels.
  2. (Optional) To use a preset, select Use a Preset.
  3. If you need to change the sender (from) address, select the Sender address and select one of the following options:
    • To make a change to the currently selected address, select Edit sender address, make the necessary changes, and select Done.
    • To enter a new sender address, select Add new sender address, enter the address, and select Done.
    • To select a different sender address from your address book, select View all senders and select the desired address.
  4. Enter the recipient address, or select the address book icon to select an address from the address book.
    • For packages going to U.S. territories or military locations, choose United States as the Country and choose the territory or military region from the State menu.
    • For packages going to Canada, select Canada from the Country menu. For US military locations in Canada, select United States from the Country menu, then select Canada from the State menu under US Military States.
    • FedEx only: State is not a required field unless it is being sent to United States or Canada. For all other regions, leave State blank.
  5. To send tracking and delivery emails to the sender or recipient, select the desired boxes under Email the tracking number and Email when the shipment is delivered. To send tracking and delivery emails to addresses other then the sender or recipient, enter the email addresses in the Additional Emails boxes.
  6. To use carrier-specific packaging, or to view rates from only one carrier, select the desired carrier from the Filter By menu.
  7. Select your packaging from the Packaging Type menu.
  8. Select the specific packaging type from the Type menu.
  9. Enter the package dimensions and weight if required for the package type.
  10. Select Select Rates and Services.
  11. Select the service you wish to use. Use the menus at the top to change the carrier, carrier account, ship date, or delivery date.If you select a carrier-specific package type, you will only see rates from that carrier. To see rates from all carriers, select My Packaging.
  12. By default, services are sorted by Price. To sort by delivery date, select Delivery Date from the Sort By menu.
  13. To view only services with delivery by a particular date, select the date from the Deliver By menu.
  14. Once the service has been selected, choose any extra services you wish to add. Select Show More to see all of the available services.
  15. Once all services are chosen, select Choose Service. The customs form opens.
    1. From the What kind of items are in your shipment? menu, select the item type.
    2. Under If Shipment Cannot be Delivered, select what to do if the shipment cannot be delivered.
    3. Select Add Item.
    4. Complete the item information.
    5. Select Save if finished or Save & Add Another to add another item.
    6. Select the AES Exemption type.
    7. Select the box to certify that the information is correct.
    8. Select Save Customs Details.
  16. (Optional) If you use cost accounts, either click in the Cost Account field and start typing the cost account name or code to search, or select the search icon to view the entire account list.

  17. (Optional) Enter References and Notes as needed. Select More Reference Options to access all of the fields.
    More Reference Options
    • Memo/Reference: The contents of this field will print on the shipping label and be included in the tracking notification email. It is limited to 30-40 characters depending on the carrier. It will appear in your history. For UPS and FedEx, this field is also sent to the carrier and will appear on your carrier invoice.
    • Reference Two: For FedEx, this field is called Department and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
    • Reference Three:  For FedEx, this field is called Invoice and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
    • Reference Four: For FedEx, this field is called PO# and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
    • Shipper Ref: This field may be used for anything up to 40 characters. It will appear in your history.
    • Transportation Ref: This field may be used for anything up to 40 characters. It will appear in your history.
    • Shipping Notes: This field can contain any notes about the shipment up to 500 characters (255 for FedEx) and will be included in the tracking notification email. It will appear in your history.
  18. To use the default printer settings, select Print Shipping Label. To select different printer settings, select Print Options.
    • Select the items to print. If Summary Receipts are enabled, Summary Receipt will be included. If Print a receipt with the label is enabled, Receipt with Shipping Label will be included. If you do not want to print these items, select the x next to them to remove them. If Receipt with Shipping Label is removed, then Shipping Label will automatically be selected instead.
    • Select the printer and print size.
    • To print a test label, select Print Sample.
    • Select Print.

Carrier Services and Packaging

  • *If you select a carrier-specific package type, you will only see rates from that carrier. To see rates from all carriers, select My Box or Envelope.
  • Some countries may not be available due to regulatory or service limitations. If the country you want to send to is not on the list, you will need to ship with the carrier directly.
  • Shipments to Brazil require the importer's (recipient's) Tax ID number. To enter it, click the Provide additional customs information (optional) link in the customs form step and use the Add Importer's Custom Reference field.
  • For USPS Priority Mail Express, the delivery date shown is the "guaranteed" delivery date from USPS, the latest time the package will be delivered. Priority Mail Express normally has a one day turnaround time, but actual delivery times depend on multiple factors including creation time, pickup time, and routing.
  • Rates shown in SendPro Online or PitneyShip may differ from rates shown on the carrier's website for the same item. For more information, see:
