Important information about availability of Signature File (for Return Receipts) and Certified Mail Tracking

Update for Mailing System Clients using USPS Certified Mail/Electronic Return Receipt (E-RR)
Clients who processed Certified Mail/E-RR transactions between February 2, 2018 and February 7, 2018 may be unable to access tracking and proof of delivery data (E-RR signature files) from USPS.

What is the impact of the outage?
Clients who processed Certified Mail and E-RR transactions between February 2, 2018 and February 7, 2018 may not be able to view tracking data or receive signature files on February 12, 2018 for mail processed during that timeline.

Which systems were impacted by the outage?
All Certified Mail and E-RR transactions processed by the following mailing systems:
  • SendPro P/Connect+ Series
  • SendPro C Series
  • DM (DM300, DM400, DM500, DM800, DM900 & DM1000/1100) Series

Why are the PDF Signature Files (E-RR) and tracking data unavailable?
USPS regulations require that Certified Mail and E-RR transactions be uploaded prior to inducting the mail. This workflow does not allow for reprocessing of data once the mail has been sent. Pitney Bowes is working with the USPS to determine alternative methods to retrieve these missing records. However, due to the complex nature of these transactions, it may take time to retrieve these records, and restoration of PDF Signature Files cannot be guaranteed. An update on our progress with USPS will be provided shortly.

When was the issue resolved?
The issue was resolved on February 7, 2018.  Transactions have processed as expected since then.

When will I receive my signature files for Certified/ERR transactions processed during the outage?
Pitney Bowes is working with USPS to retrieve the missing data where possible. As the data becomes available, it will be posted on Your Account at www.pitneybowes.com as usual.
