Importing purchase orders in PitneyTrack Enterprise

You can import a list of purchase orders as expected packages. When you scan the package it will auto-populate with the carriers you use, along with the recipient and sender information.

You can import a list of purchase orders as expected packages. When the package is scanned, the carrier, recipient, and sender from the list will be automatically filled in.

Importing manually

  1. From the Receiving menu at the top, select Expected Packages under Packages.
  2. Select the Purchase Orders tab.
  3. If necessary, select your Site.
  4. Select Import > Import Manually.
  5. (Optional) To use a template to create your import file, select Download purchase order data .csv template. You can insert your data into this template, or copy the headers (first row) from this template into your own file.
    Note: The recipient and sender names you import via the file should already be in the address book. This allows the contact information to be filled in automatically when scanning the package.
  6. Save your list in CSV format.
  7. Select Choose .csv file, select your CSV file, and select Open.
  8. Select your site from the All Sites menu.
  9. If you want to replace all purchase orders that are already in the system, select Replace all PO number currently in the system with those from the imported file.
  10. Select Continue to Mapping.
  11. In the Import Purchase Order Data window, match your CSV file fields in the Your CSV Fields column with the fields in the PitneyTrack Fields column.
  12. Select Import.
  13. Wait for the file to be processed. When complete, the packages will appear on the Purchase Orders tab.
    • (Optional) Select the Import History tab to view the status of the import.

Importing automatically on a schedule

  1. From the Receiving menu at the top, select Expected Packages under Packages.
  2. Select the Purchase Orders tab.
  3. If necessary, select your Site.
  4. Select Import > Configure Automatic Import.
  5. Select the Site where you want the imported purchase orders to be available.
  6. If you want to replace all purchase orders that are already in the system, select Replace all PO number currently in the system with those from the imported file.
  7. Click Continue.
  8. Select Download purchase order data .csv template.
  9. Make sure that the format of your file matches the format of the template file.
  10. Select the Text Delimiter that is used in your file.
  11. Enter the File Path and SFTP Server URL.
  12. Select the Authentication Option you wish to use.
    • If you selected Password, enter the SFTP Username and Password.
    • If you selected SSH Keys (PEM Format), enter the Username, then select Choose File and upload your SSH Key file in PEM format.
  13. Select the Test Access button to test the connection.
  14. Click Continue.
  15. In the mapping window, match your CSV file fields in the Your CSV Fields column with the fields in the PitneyTrack Fieldscolumn.
  16. Click Continue.
  17. Select the Days and Time you wish the import to occur.
  18. In the Additional Email Address for Receiving Notifications field, enter the email address(es) you want to be notified if the import fails.
  19. Select Import.

To view past automatic imports, go to the Import History tab.

To view or change a saved import configuration, go to the Import Schedule tab.
