Quick Steps

  1. If you need to change the Sender address, select it from the Sender Address menu..
  2. Enter the Recipient address, or select the address book icon to choose one from the address book.
  3. Select the package type from the Packaging Type menu.
  4. Enter the package dimensions and weight if required for the package type.
  5. Select Select Rates and Services.
  6. Choose the service you want to use and select Choose Service.
  7. For international shipments, complete the export, items, and customs information in the International Shipment Details section.
  8. Fill in the Cost Account and any optional Reference fields if needed.
  9. Select the green Print button, choose your printer and options, and select Print.

Sender

  1. Select Shipping & Mailing > Create Shipping Label.
  2. (Optional) To use a preset, select Use a Preset.

  3. If you need to change the sender address, select the address under Sender in the upper left and select one of the following options:
    • To make a change to the currently selected address, select Edit sender address, make the necessary changes, and select Done.
    • To enter a new sender address, select Add new sender address, enter the address, and select Done.
    • To select a different sender address from your address book, select View all senders and select the desired address.

Recipient

  1. Enter the recipient address, or select the address book icon to select an address from the address book.

    • If the recipient address is a residential address, check the Residential box below the address.
  2. To send tracking and delivery emails to the sender or recipient, select the desired boxes under Email the tracking number and Email when the shipment is delivered. To send tracking and delivery emails to addresses other than the sender or recipient, enter the email addresses in the Additional Emails boxes.

  3. If you have the Denied Party Screening feature, select the Denied Party Screening Lookup button to check if the recipient is on the restricted party lists. If a matching recipient is found, a window will appear indicating which list the person is on. If you choose to ship to this person, you are accepting legal responsibility for the shipment.

Packaging

  1. To use carrier-specific packaging, or to view rates from only one carrier, select the desired carrier from the Filter By menu. If All Carriers is selected, you will only see generic (non-carrier-specific) package types.
  2. Select the package type from the Packaging Type menu.

  3. Enter the package dimensions and weight if required for the package type.

  4. If you are shipping with USPS and your package contains hazardous materials, select Does this parcel contain anything potentially Hazardous?.
  5. If you are sending an envelope through USPS that is thicker than 3/4" or is non-bendable, select Envelope is more than 3/4" thick or is non-bendable. The Length, Width, and Height fields will appear and will be required.
  6. If your package contains only documents and you are using UPS, FedEx, or DHL Express, select Contains documents only.
    • When you select this, some of the international shipment details may be automatically filled in.

Rates and Services

  1. Select Select Rates and Services.
  2. Select the service you wish to use. Use the menus at the top to change the Carrier, Ships On date, or Ship From ZIP Code.

    • If you select a carrier-specific package type, you will only see rates from that carrier.
    • If you change the Ships On date, the available carriers will change to show only carriers that can deliver on that date. If you change the carrier, the available Ships On dates will change to show only dates on which that carrier can deliver.
    • The Ships On date automatically advances to the next day at 8PM local time.
  3. To sort the rates by price or delivery date, click on the column heading. Select the same column heading again to reverse the sort order.
  4. To use the calendar view, select the calendar icon.

  5. Once the service has been selected, choose any extra services you wish to add. Select Show More to see all of the available services.

  6. Once all services are chosen, select Choose Service.

International Shipment Details

For international shipments, complete the International Shipment Details section. For domestic shipments, skip to the next section.

Note: Service to international destinations may vary by carrier. For more information about carrier services, visit the carrier's website:

  1. Under International Shipment Details, select the Export Type.
    Note: For USPS First-Class Mail International service, Documents is the only Export Type that is allowed.
  2. Under If Shipment Cannot be Delivered, select what to do if the shipment cannot be delivered.
  3. Select Add First Item.

  4. (Optional) If you have predefined customs product items, select an item from the Pick From Inventory menu.
  5. Complete the item information and select Save.
  6. If there is more than one item in your shipment, select Add Another Item and repeat.
  7. Select Save & Close.
  8. Select Add Customs or Edit Customs.
  9. If required, select the AES Exemption type. For further information, refer to the USPS.COM Postal Explorer.
  10. Complete the additional customs fields as required for the carrier and shipment.
  11. Select Save & Close.

6. Accounting and Reference

  1. If you use cost accounts, either click in the Cost Account field and start typing the cost account name or code to search, or select the search icon to view the entire account list.

  2. (Optional) Enter References and Notes as needed.
    • Memo/Reference: The contents of this field will print on the shipping label and be included in the tracking notification email. It is limited to 30-40 characters depending on the carrier. It will appear in your history. For UPS and FedEx, this field is also sent to the carrier and will appear on your carrier invoice.

    • Select More Reference Options to access these additional fields.

      • Reference Two: For FedEx, this field is called Department and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
      • Reference Three:  For FedEx, this field is called Invoice and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
      • Reference Four: For FedEx, this field is called PO# and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
      • Shipper Ref: This field may be used for anything up to 40 characters. It will appear in your history.
      • Transportation Ref: This field may be used for anything up to 40 characters. It will appear in your history.
      • Shipping Notes: This field can contain any notes about the shipment up to 500 characters (255 for FedEx) and will be included in the tracking notification email. It will appear in your history.
  3. If the Shipment Contentsfield is visible, fill it in (required by some carriers).

Printing the label

  1. If necessary, select your payment method (varies by carrier account type).

  2. If necessary, check the box to certify that the information is correct.

  3. (Optional, recommended for first print) To print a test label, select Test Print. Test prints are for testing printer settings only and do not use any postage.
  4. To view or change the printer settings before printing, select Print Options.
  5. When you're ready to print the label, select the green Print button. (It may say Print Shipping Label, Print Label to PDF, or Print International Label & Documents.)
  6. Select the items you want to print. Options may vary based on your settings and shipment destination. Uncheck the boxes for any items that you do not want to print.

  7. Select the Printer and Print Size.

  8. Select Print.
    • To email the label instead of printing it, select Email, enter the email address, and select Pay and Send Email.
      Important: Emailed labels expire after 1 day.

Emailing a QR code (USPS only, PitneyShip Enterprise only)

To generate a QR Code that can be used at a Post Office or a USPS self-service kiosk:

  1. Select Email QR Code.
  2. Enter the email address and select Email QR Code.
