Learn how to remove duplicate addresses from your mailing list in ConnectRight Mailer.
- Select Dupe ID from the left hand side or the toolbar.
- Select the Match criteria menu to select the fields for matching. Choose one of the pre-defined options or create your own by selecting Custom match.
- Select an option from the Match Level menu.
- (Optional) Select the Exclusion List checkbox and click Add File to eliminate records held in another list.
- Note: This will help if you have a do not mail or a recently mailed list and want avoid mailing to addresses in these lists.
- Exclusion files must be imported and saved in the application. It is recommend that all files go through Verify or MoveID processing before running DupeID.
- (Optional) Select Keep record priority to prioritize the primary (kept) record within a set of duplicates.
- If you don’t set a priority the first record found is the primary.
- Select the left menu to prioritize your records.
- Set the priority direction as Ascending or Descending to rank the values in the field.
- Note: If match criteria = Address only, priority field = Customer ID, and priority direction = Ascending, when the address is the same, the record with the smallest customer ID is the primary record.
- Select Add row to add a field to the priority or Remove to remove a field from the match priority.
- (Optional) Select the Data Consolidation checkbox to transfer information from dropped records to kept records during the DupeID.
- If the highest priority record in a matched set does not contain information but another record in the duplicate set does, the information can be added to the kept record. Click F1 to access the help menu for more information.
- Select an option for any records identified as duplicates:
- Review them before eliminating any duplicates.
- Have ConnectRight Mailer automatically drop any duplicates.
- Keep all the duplicates.
- Select Run or Run DupeID Only to process the list.
- Select Run again when you are prompted to confirm the DupeID process.
- The DupeID screen appears and ConnectRight Mailer will run your list:
- If you selected to review the duplicates after processing, they will appear in the Match Results screen. Select Drop or Keep for each record.
- Select Drop records to remove the selected items from your list.
- If you selected to save the duplicates, you will be prompted with the file name and location of the removed records. Record this information and click Ok to continue.
- Select Close when all items show a green check mark as their status.
- Select Close and any duplicate records will be removed from your mailing list.
