Address presorting in ConnectRight Mailer

ConnectRight Mailer enables you to sort your mail list to meet USPS standards.

ConnectRight Mailer enables you to sort your mail list to meet USPS standards.

  1. Select Presort from one of the following locations:
    • The Process Definition menu
    • The Presort icon on the tool bar
      rPresort selection in connect right
  2. In the Presort setup box you can enter three types of information about who is sending out the mailing:
    • Permit Holder: The owner of the permit used to pay for the mailing.
    • Mailing Agent: The person or company that prepares the mailing
    • Mail Owner: The owner of the mail.
    • Select Same as permit holder for Mailing agent and Mail owner if the permit holder, agent and owner are the same.
  3. Click the Select | Edit | Add button under Permit holder.
    • Note: The mailer information is populated with entries selected from your address book.
  4. Click New.
  5. Check the required check boxes for Permit holder, Mailing agent or Mail owner mailings.
  6. Enter the Permit | MID | CRID information.
  7. Enter the information and click Save.

  8. The new record is now available for use.
    • Select Show All to display all addresses in the grid
    • If the address is not shown in the list, scroll down or use the filter feature to find it
    • Select Add to add other Permits | MIDs | CRIDs.
    • Select a mailing record and click Edit to modify the information.
  9. Select an address and click Select.
  10. Confirm the mailing address information is correct and click Next.
  11. Enter the following information:
    • Class of Mail
    • Mail Rate
    • Select Envelope or enter the dimensions manually
    • Select Machinable if your mail piece is machinable (automation compatible) 
    • Barcode (If you are including an Intelligent Mail barcode)
    • Permit type (your postage payment method)
    • Mailing date
    • If you don’t process the MoveID before presort, choose the Move Update method. Without specifying a method, you won’t qualify for some discounts.
  12. Select Next when you have completed all of the Presort Specifications.
  13. Select the Mail.dat checkbox.
    • Mail.dat is the electronic documentation format ConnectRight Mailer generates for upload to the USPS (PostalOne!).
  14. Enter the following information:
    • Customer Reference ID: A reference number for the CAPS account statement.
    • Name: Contact person for the Mail.dat file.
    • Phone: Contact phone number for the Mail.dat file.
    • eDoc Sender CRID: USPS-assigned CRID (identifies the company uploading the Mail.dat file). ConnectRight Mailer will fill this in for you.
    • Payment account no : The Mail Anywhere national payment account number that is linked to existing permits.
    • Secondary permit no: For metered or stamped mailings, the secondary permit number is used for paying the postage balance. Click the Select/Edit button to choose a permit from your address book.
    • USPS pickup: Check this box for mailings verified at a USPS DMU (Detached mail unit).
    • Postage payment options: Payment method provided to the USPS.
    • Piece weight source: Method used to calculate the piece weight for the mailing.
  15. Click Next.
  16. Select or Enter the following information: 
    • Service option : Click the appropriate option for Full Service or Basic mailing.
    • Address correction option:Indicates which address correction service (ACS) method will be used for the mailing. This information is used to calculate the appropriate service type.
    • IMb Tracing: Check this box when using IMb Tracing from the USPS® or mail tracking solution. This information is used to calculate the appropriate service type.
    • Auto assign Service Type: Check this box to calculate the service type for the presort. If not checked, the user must specify the service type. This option is not available for IMpb presorts.
    • Service type ID: A three digit number used as part of the Intelligent Mail barcode. For most categories, the application will generate the service type ID. If the Service Type ID is not automatically calculated, check the appropriate USPS documentation to determine the correct service type ID.
    • Auto assign serial numbers: For Full-Service mailings, the application can generate unique serial numbers for each piece and container. If you don’t check this box, you must specify the unique serial numbers yourself. The application only tracks unique serial numbers for presorts if you use the Auto assign sequence number feature.
    • Starting serial number(s): The starting serial number to use for the mailing if Auto assign serial numbers is not selected.
    • Mailer ID: The 6 or 9 digit Intelligent Mailer ID assigned by the USPS.

  17. Select Next to continue.
  18. Select Find entry point.
    • This tells the USPS where you are dropping off your mail, calculates the correct postage, and ensures your reports reach the right USPS location.
  19. Select the required Select Entry point discount type option.
    1. (Optional) Enter a partial or full ZIP Code or city name in the textbox.
    2. Click Find to get the USPS facilities that match your input.
  20. Click the checkbox in the select column for each location you want to add and click Add selected.

  21. Identify which entry point is the acceptance unit by selecting one and clicking Set as acceptance unit.
    • Important: For further assistance on entering mail at multiple entry points contact your local USPS business mail acceptance department. Topics to inquire about include: required documentation, pallet requirements, planning to maximize postage discounts, and logistics.

  22. Select Next.
  23. Review the Records to Exclude from Presort section and uncheck as required.
  24. Verify MoveID and DupeID assign fields that indicate if a record is undeliverable, vacant or if the addressee has moved without a forwarding address.
    • If you have run MoveID, Moved, no valid forwarding address available is checked by default.
    • If you have run DupeID or Suppress, Duplicates and suppress matches is checked by default.
    • If you include undeliverable records, it can affect the rate applied to those pieces and can result in returned mail.
  25. Click Run Presort Only to start presorting your list or click Save to keep your settings for future mailings.
  26. Click Run.
  27. Click OK after the job processing window shows Process Complete.
