You can create and print multiple shipping labels at once (in a batch) to send packages of the same size and weight to multiple different recipients.

You can create and print multiple shipping labels at once (in a batch) to send packages of the same size and weight to multiple different recipients. This is different from a multi-piece shipment, where multiple packages of different sizes are sent to the same recipient.

Note: This feature cannot be used with US territory addresses, military addresses, P.O. Boxes, or international address.

Before you begin:

Depending upon your version of PitneyShip, you may have different versions of this feature. If, when you go to Create Shipping Labels > Multiple, you see the following message, then you are using Method 2. If you do not see this message, then you are using Method 1.

Method 1

  1. On the Shipping Labels tab, select Create Shipping Labels, or from the Shipping & Mailing menu, select Create Shipping Label.
  2. If you need to change the sender address, select the address under Sender in the upper left and select one of the following options:
    • To make a change to the currently selected address, select Edit sender address, make the necessary changes, and select Done.
    • To enter a new sender address, select Add new sender address, enter the address, and select Done.
    • To select a different sender address from your address book, select View all senders and select the desired address.

  3. Select Multiple.
  4. Either select or create the recipient list:
    • Select an existing recipient list from the Select a recipient list menu.
      • If needed, select Add Recipients or Remove Recipients to add or remove recipients from this shipment without editing the saved list.
    • Create a new recipient list:
      1. Select Create new Recipient List.
      2. Select the recipients you wish to add to the list. To select a continuous range of addresses, click on the first one, then hold down the Shift key and click once on the last one. All addresses in between will be selected.
      3. Select Continue.
      4. To save the list for future use, enter a name and select Save and Add Recipient. If you do not want to save the list for future use, select Use One Time.
    • Import a recipient list:
      1. Select Import Recipients.
      2. (Optional) To use a template to create your import file, select Download a .csv template. The file sample-address-import.csv will be downloaded.
      3. Select Choose File and choose your import file.
      4. Select Import.
      5. In the Import Contacts window, match your CSV file fields in the Your CSV Fields column with the PitneyShip fields in the Address Book Fieldscolumn. Review the list and make sure that all of the fields are mapped correctly. For any that say Ignore Field, choose the correct field. If you choose Ignore Field, that field will not be imported.
      6. Select Import and Save to save the list for future use, or Import One Time if you do not want to save the list.
  5. If the address verification window appears, select Use Suggested Address to use the USPS's address, Use Original to use the version of the address in your address book, or Edit Original to edit the individual address. Select Apply this setting to all addresses in the batch to apply your choice to all of the addresses in this batch.
  6. Select the boxes for the email notifications you wish to send. If Recipient is checked, emails will only be sent to recipients whose contact records contain an email address.
  7. To use carrier-specific packaging, or to view rates from only one carrier, select the desired carrier from the Filter By menu.
  8. Select the package type from the Packaging Type menu.

  9. Enter the package dimensions and weight if required for the package type.

  10. If you use cost accounts, either click in the Cost Account field and start typing the cost account name or code to search, or select the search icon to view the entire account list.

  11. (Optional) Enter References and Notes as needed.
    • Memo/Reference: The contents of this field will print on the shipping label and be included in the tracking notification email. It is limited to 30-40 characters depending on the carrier. It will appear in your history. For UPS and FedEx, this field is also sent to the carrier and will appear on your carrier invoice.

    • Select More Reference Options to access these additional fields.

      • Reference Two: For FedEx, this field is called Department and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
      • Reference Three:  For FedEx, this field is called Invoice and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
      • Reference Four: For FedEx, this field is called PO# and will print on the shipping label. For all other carriers, it will not print. It will appear in your history.
      • Shipper Ref: This field may be used for anything up to 40 characters. It will appear in your history.
      • Transportation Ref: This field may be used for anything up to 40 characters. It will appear in your history.
      • Shipping Notes: This field can contain any notes about the shipment up to 500 characters (255 for FedEx) and will be included in the tracking notification email. It will appear in your history.
  12. Select the Select Services button.
  13. Select the service you wish to use.
  14. Once the service has been selected, choose any extra services you wish to add.
  15. Once all services are chosen, select Apply or View Label Costs.
  16. (Optional) To print more than one label of the same size and weight for the same recipient, change the number in the # of Labels field.
  17. (Optional) To remove recipients from the batch, select the delete icon next to them on the Verify Shipping Rates screen.

  18. If more information is required for any recipient, it will be shown in red. Select the edit icon next to that recipient and complete the information.

  19. Select Apply.
  20. Select Print Shipping Label.
  21. Select the printer, size, and other options, then select Print to print the labels or Email to email them.
    • If Print to PDF is selected as the printer, the labels open in PDF format in a new browser window or tab. Use your browser's print function to print the labels.

Method 2

If you see this message, then you are using Method 2:

  1. From the Home screen or the Shipping & Mailing menu, select Ship Orders.
  2. Select the arrow next to Create Shipment and choose either Upload File to upload a CSV or XLSX file with your addresses, or Choose from Address Book to choose existing addresses from your address book.
  3. If you choose Choose from Address Book:
    1. Select the addresses and select Add, or select the Recipient Lists tab to choose an existing recipient list.
    2. Complete the shipment information and select Save.
  4. If you choose Upload File:
    1. Download a template to use to format your data, select the .csv or .xlsx link under Download.

    2. Select the Download link for Download carrier and sub-carrier account information. You will use the information from this file to fill in the Carrier Code, Sub Carrier ID, and Service fields in the template.

    3. (Optional) To add the imported shipments to a batch, select the batch from the Add to Batch menu. If creating a new batch, enter the Batch Name.
    4. Input your shipment data into the template spreadsheet and save it as a CSV or XLSX file.
    5. When you are ready to upload your file, select Click to select .csv or drag and drop them here, select your file, and select Open. You can also drag your file onto that box.

    6. Select Upload.
    7. In the Map your file column headers to our field names window, match your CSV file fields in the YOUR FILE section at the top with our fields in the FIELD NAMES section at the bottom.
      • The Overrides section allows you to override the data in your file with a single value for all of the imported records. For example, you could select Small Flat Rate Box for the Package Type for all of the packages in your file.
      • For Order ID, any value entered in the Overrides field will be added to the beginning of the Order ID with an underscore, for example, OrderNum_11200.

    8. If you want to save these mapping choices for future imports, select Save mapping for future imports.
    9. Select Confirm Mapping.
    10. If prompted for address verification, select either Use Suggested Address or Use Original and select Apply to All Addresses & Import. Use Suggested Address is recommended.
  5. Wait for the shipments to be processed.

  6. Once the data has been processed, select Sync.

  7. If an item needs attention, select the red error icon to view the missing information.

  8. Select the order ID to open the shipment and complete the missing information.

  9. When you are ready to print the label, select the Print button on the edit screen or Print Label in the list view.
    To print more than one label at the same time, check the boxes next to them, then select Print Label in the popup toolbar.

  10. To email the label instead of printing it, select the 3 dots next to the Print or Print Label button and choose Email Label.
