Adding funds to your Pitney Bowes Reserve (Deposit) or USPS Trust accounts

ACH or wire bank transfer
If you need your funds available as quickly as possible, an ACH or wire transfer is your best choice. These payments come directly from your bank and reach your account much sooner than mailed checks.
For Reserve (Deposit) accounts
You can send an ACH or wire transfer using your bank’s online platform. This is the quickest method to add money to your Reserve Account. Pitney Bowes may charge a $10 incoming wire fee.

For USPS Trust accounts
You can also send a one‑time ACH or wire deposit to your USPS Trust account. Payments sent before 3:00 PM ET will be processed that same day and typically appear on your account within two business days.

Schedule pay (auto-deposit) / recurring options
If you'd like your account to fund itself automatically — no manual steps, no interruptions — a recurring deposit option is a great fit.
For Reserve (Deposit) accounts
You can choose how and when funds are added: weekly, monthly, or whenever your balance dips below a level you set. Setting this up is easy in Your Account: select Postage → Prepaid Balance → Set Up Auto‑Deposit, choose your bank account, pick your schedule, accept the terms, and submit.

For USPS Trust accounts
To set up recurring ACH, you’ll complete an Electronic Funds Transfer Authorization Agreement, then send it by fax and email to PBPCustomersupport@pb.com with a voided check or bank letter. Once approved, payments will be withdrawn automatically.
Slower methods (mail delivery required)

If mailing a check is your preferred payment method, no problem — just be aware that processing takes longer due to mail transit times.
For Reserve (Deposit) accounts
You'll need to include a Reserve account deposit slip with your check and make sure your Reserve account number appears on it. Without this, your payment can’t be applied.

Expect funds to be available 7–14 days after mailing, depending on postal delivery. Accounts with a recent negative balance history may also experience a 5‑day hold after Pitney Bowes receives your deposit.

Helpful tips to avoid delays
- Forgetting your 8‑digit account number — every payment must include your 8‑digit account number in the remittance or detail field so funds apply correctly the first time.
- Not using the correct details for ACH or wire notifications — if you choose to send a payment notification email, it must go to payment.info@pb.com and must include your 8‑digit USPS Trust account number (and for ACH/wire, also include the bank account number, but remember this inbox does not accept payments).
- Assuming Pitney Bowes will automatically withdraw funds — PB will only debit your bank account automatically if you have enrolled in auto‑deposit or a recurring debit program. All other payments must be initiated by you.
- Using the wrong funding method for your timeline — mailed checks take longer to process (7–14 days for Reserve; 3–10 days for Trust), so they should not be used for urgent funding needs.
- Sending payments without required documentation — Reserve account check deposits require a deposit slip with your account number; missing this information causes delays.
